Fulfilment for small businesses: when to outsource

FULFILMENT SCOUT · PRACTICAL GUIDES

Outsourcing can make sense when packing is taking time from running your business, but order volume alone does not decide it. Compare the cost of support with the space, time and reliability your current setup needs.

Make your next fulfilment decision with a clearer brief.

Use the checks below to compare what providers will actually do for your business.

01

Count the work around packing

Track a normal week: receiving stock, checking deliveries, finding products, buying packaging, printing labels, packing, arranging collections and handling returns. Include the time spent resolving mistakes. Then separate tasks a provider would take on from those you will retain, such as customer service and purchasing stock.

02

Ask about minimums before comparing rates

A provider may have a minimum monthly spend, a minimum order volume or neither. Ask what applies, what activity counts towards a minimum and whether storage is additional. Model a quiet month as well as your target month. A low per-order price can be poor value when a minimum is much larger than your usual activity.

03

Make your inventory ready for a handover

Each product variant needs a clear identifier that matches the store and warehouse records. Record dimensions, weights and packing instructions. Separate damaged or uncertain stock before the move. Ask whether barcodes are required and who pays for relabelling if stock arrives without them.

04

Start with a manageable operating plan

Agree how often you will replenish stock, how you will see stock balances and who checks low-stock alerts. Keep a plan for launch delays and unusually busy days. If you keep some orders in-house, define ownership clearly so that two teams do not ship the same order.

05

Know when staying in-house may fit better

Very low or unpredictable demand, highly personalised items or products that need specialist checks can make outsourcing less straightforward. Ask providers to explain any constraints openly. The goal is a workable arrangement for your current business, with a clear route to change as it grows.
